QuickBooks and HubSpot in sync

The challenge they faced
As a commercial real estate advisory firm, the team was managing client relationships, listings, and transactions across multiple disconnected systems. Data lived in their accounting platform, document management system, and property database, requiring manual entry into HubSpot and creating visibility gaps. This fragmentation meant the team couldn't easily track prospects through long nurturing cycles, forecast revenue with confidence, or coordinate on priorities without jumping between systems. The founder needed to transition from hands-on deal work to team leadership, but operational inefficiency was holding them back.
The strategy we mapped
The team needed their accounting, document management, and property data systems to work together with HubSpot without manual data entry. We structured the work in phases, starting with the most straightforward connection–QuickBooks Online–to establish the pattern, then moving to discovery engagements for the other two systems to determine whether native integrations would serve their needs or require custom development.
The solutions we executed
We set up the native QuickBooks Online integration, configuring bi-directional synchronization between the accounting system and HubSpot so financial and CRM data stayed aligned without manual intervention.
For the document management system and property platform, we ran discovery engagements where our integration team spent up to four hours on each mapping the relevant objects and data fields to the available native integrations. For each system, we evaluated whether the native solution met the team's requirements. Where it did, we completed the setup at no additional cost. Where it did not, we delivered detailed mapping documents and a custom integration plan with associated recommendations.
What changed after the engagement.
The client's financial data now synchronizes automatically between their accounting platform and HubSpot, eliminating manual entry and ensuring CRM records reflect current deal values and invoice status. Discovery engagements on their document management and property systems produced detailed integration roadmaps, enabling the team to make informed decisions on native solutions versus custom development and move forward with confidence in their system architecture.
