Salesforce sync with segmented campaigns and reporting
The challenge they faced
An industrial cooling solutions manufacturer had grown its business without establishing foundational marketing infrastructure or visibility into marketing performance and customer engagement. The team lacked a cohesive view of customer interactions across touchpoints and needed to improve lead generation and management capabilities.
Recognizing the need to scale marketing operations sustainably and gain deeper insight into how prospects and customers engaged with their brand, the team turned to Bluleadz to implement HubSpot and integrate it with their existing CRM platform.
The strategy we mapped
We prioritized connecting HubSpot to the client's existing Salesforce deployment before building marketing infrastructure. Since the Salesforce implementation was running parallel to this engagement and the team had limited confidence in legacy data from their previous system, we started by establishing a stable bidirectional sync with Salesforce as the source of truth for accounts and contacts. This allowed marketing operations to build on a clean foundation while respecting Salesforce as the primary record repository. Once the integration was in place, we shifted to setting up email delivery, landing pages, forms, and segmentation to enable the team to run campaigns and nurture prospects at scale.
Throughout the project, we worked through two key constraints: DNS and domain setup proved to be a prerequisite for both email sending and branded landing pages, so we coordinated closely with the team's IT and registrar to prioritize authentication and CNAME records early. Second, segmentation and lead routing depended on having clear customer type and contact role definitions, which the team was still refining in parallel with their Salesforce build. We built workflows and properties to capture these attributes flexibly so the team could refine taxonomy as their business model clarified.
The solutions we executed
Email sending and landing page infrastructure. We authenticated the email sending domain via DNS to enable compliant, high-deliverability marketing outreach. We set up a branded content domain (go subdomain) for landing pages to standardize URLs and tracking. Templates for landing pages and emails were built to match the client's refreshed brand, with smart content rules to personalize messaging by lifecycle stage or audience segment.
We connected HubSpot to Salesforce with bidirectional sync, configured to mirror accounts, contacts, and deals while treating Salesforce as the source of truth for conflicts. We built custom properties for customer type and contact role to enable segmentation and align with the team's go-to-market strategy. A sync mapping guide was provided so the team could reliably add new Salesforce custom fields to HubSpot as their implementation matured.
We built HubSpot-native forms to replace legacy form infrastructure and wired them to a workflow that automatically assigns marketing contact status based on email domain validation. We set up audience lists segmented by customer type, contact role, and job title to support targeted campaign activation. A lead nurture workflow template was built and demoed so the team could deploy campaigns tied to events and content offers, with goal-based exits tied to form submissions or link engagement.
Reporting and marketing analytics. We built a dashboard showing traffic by source, contact creation, email and social performance, and data quality metrics like bounce rates. Tracking URL builder and campaign templates were configured to capture consistent UTM parameters across channels. The team was trained on HubSpot's social analytics, AI content tools (Content Remix to generate ads and social assets from existing landing pages), and Breeze agents for emerging use cases as features matured.
What changed after the engagement.
The client now has a unified marketing operations platform where email sending, landing pages, forms, and campaign automation run on clean, synchronized data from Salesforce. Email authentication through DNS enables compliant outreach at scale. HubSpot-native forms replace legacy infrastructure and automatically assign contact status based on email domain validation. Bidirectional sync with Salesforce keeps accounts, contacts, and deals current while treating Salesforce as the source of truth, supported by custom properties for customer type and contact role that enable precise segmentation and targeting.
Marketing analytics and reporting now surface channel performance, contact sourcing, email deliverability, and data quality metrics through integrated dashboards and custom reports tied to UTM parameters and campaign tracking. The team can build, deploy, and optimize nurture workflows using templated structures, segmented audiences, and goal-based automation that routes leads based on engagement and lifecycle stage, with visibility into how prospects interact across touchpoints.
