Trade show lead segmentation with port-based rate automation

When a logistics company's trade show lead strategy became unwieldy across 30+ shows, Bluleadz built a two-tier HubSpot pipeline with custom port properties, automations recycling lost deals, and integrations with Zoom and GA4, so the sales team now segments prospects by show and origin, sends personalized rate emails, and tracks pipeline behavior.

The challenge they faced

The team had built a successful business model centred on targeted outreach to specific trade show exhibitors, but managing lead lists, segmentation, and personalised communications across more than 30 trade shows was becoming unwieldy. They were migrating from their existing CRM and needed a system that could handle complex data relationships–matching companies to the specific shipping lanes and regions they imported from, then automating personalised rate emails based on that intelligence. Their previous platform lacked the flexibility to scale this approach efficiently.

Bluleadz was brought in to implement HubSpot from the ground up, with a focus on building the custom company profile and workflow automation that would underpin their teaser rate marketing strategy. The team needed a system that could segment leads by trade show attendance, import origin, and destination, then trigger the right email template with personalised elements for each prospect. They also wanted to ensure that close-lost leads were recycled back into nurture sequences rather than lost to follow-up.

The strategy we mapped

We prioritized the two foundations that would unlock their marketing strategy: a clean data model mapping companies to their import origins and destinations, and the automation infrastructure to segment leads by trade show attendance and send personalised rate emails based on that intelligence. The first discovery sessions revealed they had already begun building a deal pipeline themselves, so we audited it instead of rebuilding from scratch, redirecting that budget toward the automations and playbooks that would drive their outreach. We then worked through their existing data as it migrated from their old CRM, creating the custom properties needed to capture port information at the deal level and setting up the workflows that would recycle close-lost opportunities back into nurture sequences rather than letting them drop from follow-up.

The solutions we executed

We built a two-tier lead management system using HubSpot's Leads object for early-stage prospecting and the Deals object for qualified opportunities. This separated pre-qualification activity from genuine opportunities, giving the sales team a clearer picture of the pipeline. Within the Deals pipeline, we added required properties at key stages to enforce data capture–ensuring that critical information like port of origin and destination was recorded when deals moved forward. We also created a workflow to automatically recycle close-lost deals back into nurture sequences so prospects didn't fall out of follow-up.

Marketing automation became central to executing their teaser rate strategy. We activated their marketing contacts list and built a workflow to automatically downgrade contacts who hard-bounced or unsubscribed, protecting their contact tier and maintaining deliverability. We then created and embedded HubSpot forms on their website for inbound inquiries, configured with submission notifications to keep the sales team alert. We also set up integrations with LinkedIn and Zoom to enable scheduling links and social engagement within the platform.

We provided access to HubSpot's native Meetings tool by integrating Zoom, allowing reps to generate and share scheduling links directly from HubSpot rather than pasting them manually. We trained the team on configuring the scheduler with personalised event titles, minimum notice time, and buffer periods between meetings. We also connected Google Analytics 4 to their website tracking, giving them a unified view of contact behaviour across their website and email campaigns.

The results

What changed after the engagement.

The team now owns a lead management system built on two-tier segmentation, with the Leads object handling early-stage prospecting and the Deals object managing qualified opportunities. Custom properties at key deal stages enforce data capture, ensuring critical information like port of origin and destination is recorded as deals progress. Automations recycle close-lost opportunities back into nurture sequences, preventing prospects from falling out of follow-up.

Marketing automation protects contact deliverability by automatically downgrading hard-bounced and unsubscribed contacts, while HubSpot forms embedded on the website enable inbound inquiries to route through the sales team with immediate notifications. Integration with Zoom allows reps to generate and share scheduling links directly from HubSpot, and Google Analytics 4 connection provides unified visibility of contact behavior across website and email campaigns, enabling the team to execute their teaser rate marketing strategy with intelligence and scale.
