Standardized email campaigns and workflow automation

The challenge they faced
A digital advertising standards association that sets technology and data standards for the media and advertising ecosystem, the team operated two internal marketing groups–one focused on event promotion and one on content distribution–that relied on a manually driven email approach. Both teams used HubSpot for campaign execution but lacked standardized templates or automation logic, meaning each campaign required recreating assets from scratch. While they had recently stabilized their Salesforce-to-HubSpot integration and implemented attribution governance, their email processes remained operational bottlenecks despite email being their highest-performing channel.
The strategy we mapped
Both marketing groups ran similar campaigns but rebuilt every email and workflow from scratch, so the goal was a reusable starting point rather than a single campaign. We built matching assets for each team, events and content, so each could start from its own templates instead of a blank page. A written campaign SOP and hands-on training came last, so both teams could keep launching on their own after handoff.
The solutions we executed
Templates for each team. We built four drag-and-drop email templates, two for the event team and two for the content team, so every campaign starts on brand.
Workflows ready to clone. We built four campaign workflows, two per team, that can be cloned for each new campaign instead of rebuilt, plus four embeddable CTAs to drive clicks back to each campaign.
A playbook and a dashboard. We documented a step-by-step campaign SOP, ran a training session on launching campaigns with the new templates and workflows, and built a campaign reporting dashboard to track performance across both teams.
What changed after the engagement.
The client’s marketing teams now launch campaigns from a standardized, repeatable process in HubSpot instead of rebuilding emails and workflows each time. Event promotion and content distribution each have their own email templates, cloneable workflows and CTAs, and a documented SOP walks either team through a launch. A shared reporting dashboard gives both groups consistent performance visibility.
