Membership portal with conditional payment routing
The strategy we mapped
We settled the portal's information architecture and access model early on to unblock page design and form build-out. The team needed a branded, self-service experience that could segment customers by warranty and support status; we recommended a dedicated subdomain with membership-gated access, allowing the client to control who could register without friction. Once that was in place, we built pages in parallel: authentication flows, a knowledge base powered by HubDB, and customer-specific views for warranty and support tiers.
Rather than prescribe all details upfront, we embedded decision gates–content sign-off on pricing, confirmation of warranty scope, tax treatment per state–and phased the work accordingly. The portal launched with core pages live and imports staged for rigorous end-to-end testing. That sequencing meant we could validate automation, payment routing, and ticket workflows against real customer data before going full scale.
The solutions we executed
Portal foundation and membership access. We designed and built the portal homepage and core authentication experience–login, registration, password reset, and access-denied flows–with membership groups controlling who could view which pages. Customers register once they own equipment; HubSpot membership gating ensures only contacts in the correct access group can log in, and workflows auto-assign portal access as part of the onboarding process for new equipment purchases.
Knowledge base and self-service resources. We created a HubDB table to power a dedicated knowledge base and FAQ section within the portal, allowing the team to add, edit, and organize help articles in a single location. Updates made in HubDB appear instantly across multiple portal pages, letting the client maintain and refine guidance without rebuilding pages.
Warranty and upgrade experience. We designed and built separate pages for customers to view and renew warranty coverage based on their current status–whether they have active coverage and are renewing, or their warranty has expired and they are purchasing renewal protection. Each path surfaces relevant features, benefits, and pricing; selections trigger payment flows and update deal properties to unlock access to support services.
Support ticket submission and scheduling. We built dedicated pages for customers to submit warranty claims and technical support requests, with conditional logic capturing relevant details like serial numbers and issue type. Fee-based ticket submissions route to payment links; approved customers see booking interfaces to schedule consultations with the support team.
What changed after the engagement.
The client's customer portal now runs on a secure, membership-gated foundation with self-service access controlled by HubSpot groups. Customers register once to view warranty status, renew coverage, submit support requests, and access a searchable knowledge base–all from a single portal rather than email and phone. Conditional logic routes warranty renewals and support tickets to payment flows or directly to the support team based on coverage status, and workflows auto-assign portal access as part of equipment onboarding so new customers are ready immediately.
Support requests now flow through two dedicated pipelines with rich context and automated workflows. Warranty and tech support tickets route to the correct team, automated reminders surface stagnant tickets, and payment-gated fee-based consultations collect payment before the support team responds. Customers see response-time expectations on the portal, and the team captures issue details, serial numbers, and file uploads upfront–eliminating back-and-forth and reducing unnecessary dispatches.
